Overview

This solution package will get you started quickly in Smartsheet to manage and track multiple items, projects, products, or processes.  Our solution experts will partner with you to build a standardized process for managing (from intake to tracking) your items.   Each item will be managed by a set of Smartsheet objects (sheets, reports, dashboards) created from a template folder. You will be delivered a solution with a simple, automated view to summarize how your portfolio of work is progressing, and a portfolio view of your work with live updates when changes are made.  At the end of this engagement, you will be able to use your solution to successfully manage and track all your key items in Smartsheet.

Solution Components Included:

  • 1 Intake Sheet with Submission Form
  • Project Toolkit:
    • 3 Sheets (Ex: Budget Tracker, Risk, Actions, Issues, Decisions (RAID) Log)
    • 3 Reports (Ex: At-Risk Tasks Report)
    • 1 Dashboard (Ex: Project Summary Dashboard)
  • Portfolio Reporting: 
    • 2 Sheets (Ex: Metrics Sheet)
    • 2 Reports (Ex: Summary Rollup Report)
    • 1 Dashboard (Ex:Portfolio Summary Dashboard)

*Note: Solutions do not include rolling metrics (e.g. month-over-month, etc), resource time-tracking, or uploading of existing data. Also, 1 sheet may need to be used as a metrics sheet for dashboards.

  • Identify your Key Decision Maker and Solution Admin
  • Your Key Decision Maker is the individual who ultimately approves the solution design process and functionality. The Solution Admin is the person who will own the maintenance and make updates post-release. 
  • Internally align on your business goals and the objective of this engagement.
  • Gather relevant materials that outline your current process; examples could include process or requirements documents and/or templates.
  • Come prepared to discuss your timeline.  Understanding your dependencies, constraints, and preferred go-live dates will allow us to work together to formulate a plan.
